To Whom It May Concern:
ISP Dr is an Internet Service Provider, with some 6000 clients between Sydney and Batemans Bay. Our subscribers pay their bills on a monthly basis, with 40% supplying us with their Credit Card details for automatic periodic billing. We are billing approximately $60,000 per month in about 2000 individual client transactions via Credit Card - it is very important to the way we do business.
Prior to our involvement with Responsive Systems, all of this processing was done completely manually - that is each and every transaction was typed into an EFTPos terminal, verified then added to the client account. Naturally, as we grew, this work became more and more time consuming - culminating in an almost 'full time' job for one of our admin people. Given the laborious nature of this work, mistakes were bound to happen (25,000 transactions per year with 35 buttons per transaction!).
Responsive Systems came to our rescue! Steve (the owner) designed and wrote a tailor made windows based application for us. Now, our admin people simply keep the client details in this application up to date, and the application handles the rest of it for us. On a daily basis, a simple input routine grabs all outstanding bills for the day. This is fed into the OCV application, and with the press of a button, all of the transactions are processed (in real time!).
The total time of a single daily 'billing run' has been reduced from three to four hours manually, down to 10 minutes on the OCV application - it truly is a lifesaver! Transactions occur quickly, taking around 8 seconds to process each card / amount. Detailed logs allow easy tracking of funds (including history) as well as the ability to contact clients when their card won't go through (i.e. insufficient funds) with detailed reasons on card problems. All of these features have sped up the whole process, reduced the human error factor, save costs and made it easier for clients too!
However, the thing that has pleased us the most is the reliability of the product. It truly is robust, having billed some 8,000 transactions to date with little to no errors at all! There has been no down time in the processing at all (it has been available 24 x 7 since its installation to our site). We have not had a single client complaint over the system, and no reports of incorrect processing in any way. We are delighted with this solution - it's a real 'set and forget' product. Fantastic.
Finally, I would also like to express our gratitude to Steve Craddock. Steve has been available for additions, queries and verification since the first day the product went in. He is very quick to respond, flexible to handling our needs, and truly is a 'can do' IT professional. Well Done!
